Frequently asked questions
- How long does a demo take?
Most demos run about 30 minutes. Rather than a fixed slide deck, we walk through the parts of VenueArc that match the way your facility actually operates — so a church juggling recurring ministry bookings sees something quite different from a park district handling public rental requests.
A typical session covers three things:
- How bookings, approvals, and recurring events are handled day to day
- Where your current process is losing time — double bookings, email threads, spreadsheet handoffs
- What setup would look like for your specific spaces and teams
We always leave time at the end for questions. If you need to bring in a colleague who wasn't on the original call, we're happy to run a second walkthrough for them.
- Do I need to prepare anything before the demo?
No preparation is required. You can join the call knowing nothing about VenueArc and still get a useful session — we'll do the work of mapping our features to your situation.
That said, the demo gets noticeably more focused if you can share a little context ahead of time:
- Roughly how many spaces or facilities you manage
- Who books them — internal staff, members, outside renters, or a mix
- Which part of the current process frustrates you most
Mentioning any of this in your demo request lets us tailor the walkthrough before we even start, so the time goes toward your actual problems instead of a generic product tour. Bringing whoever handles scheduling day to day is usually more valuable than bringing decision-makers alone.
- Can VenueArc replace spreadsheets and manual booking processes?
Yes — that's precisely what it was built for. VenueArc replaces spreadsheets, paper calendars, shared inboxes, and disconnected tools with a single system covering scheduling, facility management, and reporting.
The problem with spreadsheets isn't the spreadsheet itself; it's everything that grows around it. Availability lives in one file, the approval conversation lives in email, setup instructions live in someone's head, and the invoice lives somewhere else entirely. Nothing reconciles automatically, so double bookings and missed setup details are a matter of when, not if.
Because bookings, contracts, resources, and reporting all share one record in VenueArc, confirming an event updates availability everywhere at once. Most teams keep their old spreadsheet in read-only mode for a few weeks during the transition, then stop opening it entirely.
- How quickly can we get started?
Timelines depend on your organization's size and how much configuration you need, but most teams are onboarded and running within a few weeks of signing up.
What drives the timeline is usually not the software — it's the decisions around it:
- Space and resource setup — listing the rooms, equipment, and facilities you book
- Roles and permissions — deciding who can request, who approves, and who administers
- Existing data — bringing across upcoming bookings already on the calendar
Organizations with a handful of spaces and a clear approval process move fastest. Multi-site operations with several approval chains take longer, mostly because those workflows need agreeing internally. We'll give you a realistic estimate for your setup during the demo rather than a generic figure.
